2. Collection and storage of personal data and the nature and purpose of their use
a) Visiting our website

When you visit our website https://roasteryone.com , the server automatically records information (server log files):

  • IP address (shortened/anonymised if supported server-side)

  • Date and time of access

  • Page / file accessed

  • Browser & operating system used

  • Referrer URL

  • Name of the internet service provider

Legal basis: Art. 6 para. 1 lit. f GDPR (legitimate interest – secure provision of the website)

These data are not merged with other data sources.


b) Contact by email

When you contact us by email, the following data are processed:

  • email address

  • name (if provided)

  • content of the message.

Purpose: processing of the enquiry.
Legal basis: Art. 6 para. 1 lit. b GDPR (pre-contractual measures)


c) Contact form / demo request form

When using the demo or contact form, we collect:

  • first and last name

  • email address

  • roastery name

  • location

  • production volume (dropdown)

  • preferred date (optional)

  • other voluntary information (free text)

Purpose: making contact, scheduling appointments, conducting the demo
Legal basis: Art. 6 para. 1 lit. b GDPR (pre-contractual measures)

Important
Your data will not be used for advertising purposes and will not be sold to third parties.

3. Storage and deletion

We store personal data only for as long as necessary for the respective purpose or as required by statutory retention periods.

  • Enquiries are generally deleted after 6 months.

  • Business communications may be retained for 6–10 years in accordance with the German Commercial Code (HGB) / Tax Code.

4. Disclosure of data to third parties

Disclosure only takes place if:

  • you have expressly consented (Art. 6 para. 1 lit. a GDPR)

  • it is necessary for the performance of a contract (lit. b)

  • or there is a legal obligation (lit. c)

No disclosure for advertising purposes takes place.

5. Hosting

Our website is hosted by a European hosting provider.

The host processes IP addresses and server log files for the purpose of providing the website.

Legal basis: Art. 6 para. 1 lit. f GDPR

A data processing agreement (DPA) has been or will be concluded.

6. Cookies

Our website does not use cookies that require consent.

If technical cookies (e.g. for session management) are used, this is done solely on the basis of Art. 6 para. 1 lit. f GDPR.

We currently do not use any tracking, analytics, or advertising cookies.

7. Embedded fonts (locally hosted Google Fonts)

Google Fonts are hosted locally on our server. No connection to Google servers takes place.

Therefore, no personal data is transferred to third parties.

8. Plugins & tools

We use the WordPress theme/builder Tatsu and possibly other functional plugins.

These do not process personal data without active input from the user.

9. Data security

We use technical and organisational security measures (TLS/SSL) to protect your data against loss, destruction, or unauthorised access.

10. Your rights (data subject rights)

You have the right at any time to:

  • Right of access (Art. 15 GDPR)

  • Right to rectification (Art. 16 GDPR)

  • Right to erasure (Art. 17 GDPR)

  • Right to restriction of processing (Art. 18 GDPR)

  • Right to data portability (Art. 20 GDPR)

  • Right to object to processing (Art. 21 GDPR)
